Six core values are embedded within these commitments – student-centered, whole child, equity, academic excellence, community partnership, and continuous learning.The Department of Arts Education (DAE) champions high-quality arts education by providing students with arts learning opportunities, strengthening teacher and administrator capacity, and promoting policies that expand equitable access to the arts for all students.The Program Coordinator will provide administrative, recruitment, and logistical support for large extracurricular student programs that are run by the CPS Department of Arts Education, including All-City Visual Arts, All-City Senior Portfolio, All-City Performing Arts, the Arts Student Voice Committee, the annual Art on the Mart showcase, and the RE•VER•BER•ATE Festival. These programs provide citywide access to artistic disciplines that are currently underrepresented within CPS school-based programs. Available for all ages and prioritizing students without access to a given course at their home school, each ensemble or exhibition partners talented CPS teachers with arts partners to deliver rigorous arts instruction and performance opportunities. Students who participate in DAE Student Programs are eligible for exclusive audition and scholarship opportunities. The Program Coordinator will report to the Program Manager, All-City, and RE•VER•BER•ATE..The Program Coordinator will be held accountable for the following responsibilities:
- Lead student recruitment efforts for All-City Visual Arts, All-City Senior Portfolio, and Art on the Mart, including the design, upload, and distribution of all promotional and showcase materials, the development of recruitment strategy and documents in coordination with the Program Manager, managing and streamlining social media calendars, templates, and content across the Department of Arts Education, maintaining and updating the student programs webpages and representing DAE at key events.
- Oversee the day-to-day administrative tasks related to student programs, including participant communications, student registration, artwork submission management, volunteer and vendor support, material ordering and management, and staff payroll, in collaboration with the Program Manager.
- Provide virtual and on-site logistical support and supervision at student program rehearsals and culminating events, including Winter and Spring All-City Performing Arts Rehearsals and Showcases, Senior Portfolio Showcase, All-City Visual Arts Exhibitions, and RE•VER•BER•ATE. This will likely include weekends and evenings.
- Coordinate the All-City Visual Arts submission process, including communication and logistics, appropriate staffing for submission review, exhibition drop-off and pick-up, and opening events. This includes sending calendar invites to internal and external stakeholders, inviting speakers, and drafting any high-level communications.
- Collaborate with the Manager of Student Programs to lead the Arts Student Voice Committee, a cohort of up to 70 high school students who advise the Department of Arts Education.
- Lead annual student recruitment for the Art Student Voice Committee, including onboarding and payroll processes.
- Develop and drive yearly goals of the Arts Student Voice Committee to completion, alongside student participants and DAE team members, engage in collaborative planning of long- and short-term departmental goals.
- Assist with departmental daily operations where appropriate, as well as special events and initiatives.
- Other duties as assigned.
In order to be successful and achieve the above responsibilities, the Program Coordinator must possess the following qualifications:Education Required:
- Bachelor’s degree in a relevant field from an accredited college or university
Experience Required:
- Minimum of three (3) years of professional work experience in visual arts arts education, student programs, or related field
- Event coordination or project management experience preferred
- Bilingual or multilingual preferred
Knowledge, Skills, and Abilities:
- Strong knowledge of graphic design programs and applications (e.g., Photoshop, InDesign, Canva)
- Outstanding organizational and time-management skills
- Ability to maintain and analyze large data sets in order to glean insights and make recommendations
- Strong communication skills (speaking – including presentations – listening, and writing)
- Strong technology skills, especially Google Suite and Microsoft Office applications; ability to quickly learn and use internal CPS systems and software
- Strong familiarity with social media platforms, including Twitter, Instagram, and Facebook
- Ability to juggle multiple priorities within a fast-paced environment
- Ability to collaborate effectively with a wide variety of stakeholders, including (but not limited to) CPS teachers and administrators, other CPS office and department staff, and external partners
- Ability to build collaborative relationships with a variety of constituent groups, including external partners, to ensure the entire system operates in the most effective manner possible to support schools and principals
Conditions of EmploymentAs a condition of employment with the Chicago Public Schools (CPS), employees are required to:
- Establish/Maintain Chicago Residency – Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. This Chicago residency requirement does not apply to part-time/temporary positions, however, all CPS employees must be residents of Illinois.
- Be Fully Vaccinated Against COVID-19 – Unless approved for a medical or religious exemption, all employees are required to be up-to-date on COVID-19 vaccinations, including boosters, and to submit proof of vaccination to the district within 30 days of hire. “Up-to-date” on vaccination is defined as being at least two weeks past all primary vaccine doses and any applicable boosters.
