Job Description: SummaryKing County’s provides equitable opportunities for people to be healthy, happy, and connected to community.The Administrative Specialist III located at is responsible for initial front desk engagement with external and internal customers, organizations, etc., administrative and technical support to include billing and reporting specific to Open Doors programming and supporting the administration with reports. This complex Administrative Specialist position requires strong multi-faceted skills to be able to transition reporting, navigating reports, all within a tight time frame and engaging with the public. The person has to be comfortable, and happy to work with and around a program that serves youth, and young adults mainly ages 16-24 years.At LCS, youth and young adults are seeking their educational and employment goals within an alternative schooling environment on a college campus. Many of the students have experienced marginalization in various degrees and we are seeking a person that is able to do the technical work within a value that is rooted and engages with other with joy and compassion. This person will be a member of our which provides employment and education services to youth and young adults, residing within King County.This recruitment is to fill a Term-Limited Temporary (TLT) position that is anticipated to end two (2) years from the start date. If filled by a King County employee who has passed their initial probation, the TLT will be as a Special Duty Assignment (SDA).Job DutiesTo be considered minimally qualified, applicants must demonstrate a background that provides the knowledge, skill and ability to:
- First line of welcome to students and public (front desk/reception).
- Data entry, inputs, assist in tracking, supporting in management of Open Doors, College, and County requirements.
- Ensure that information, activities and outcomes are entered accurately.
- Work with administration on reporting, P223s (invoices), and other reports mandatory for the position to ensure accuracy.
- Create, maintain, and review files and database reports to ensure that information from all sources is accurate and internally consistent.
- Ensure that data entry into the system and reports are accurate. May review the data entry of other staff into this system.
- Support other team members as needed.
- Other duties as assigned.
Experience, Qualifications, Knowledge, Skills
- Two years of experience and demonstration of strong customer service skills and demonstrated ability to work effectively in a multi-disciplinary team.
- Experience in utilizing a database or databases including thorough understanding of all screens, definitions, and data entry procedures.
- Familiarization with K-12 or college administrative processes with regards to billing etc.
- One year of experience with administrative work at a college.
- Strong ability to work in a team environment and complete all tasks in an effective and efficient manner.
- Strong skills in use of personal computers, with working knowledge of MS Word, Excel, Access, and Outlook.
- Skilled in operation of a variety of office equipment.
- Demonstrated ability to understand and execute complex verbal and written instructions and maintain confidentiality.
- Experience in basic mathematics, organizational skills and research skills.
- Demonstrated ability in use of proper English grammar, usage and spelling, and ability to suggest and make appropriated corrections.
- Demonstrated ability to prioritize workload, work under pressure with tight timelines and changing priorities.
- Excellent reading comprehension, reasoning, writing and oral communication skills are required.
- Demonstrated ability to work independently and as a team member in a diverse environment.
- Ability to be flexible and accept a wide-variety of tasks to support a changing and fast-paced environment.
